The Real Estate & Facilities Specialist (Facilities Specialist III) provides administrative and facilities support for designated office and/or regions as required.  The ideal candidate will be a detail-oriented self-starter with strong communication and interpersonal skills, able to communicate effectively with individuals at all levels of the organization. This role serves as an intermediary between Appian employees and customers, prospects, partners, suppliers and third parties, you will collaborate with teams throughout the organization. This is a full time, in-office position at our Corporate HQ.

 

To be successful in this role, you will:

  • Directly manage the work of vendors with accountability and oversight of their responsibilities. 

  • Oversees maintenance of accurate records and database of badging, parking, and any other building access requirements for employees.

  • Answer and manage incoming communications and Facility requests. 

  • Oversees booking of remote daily workspaces and conference rooms, reviewing and payment of invoices for remote bookings.

  • Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement, and housekeeping of office facilities. 

  • Develop and implement sustainability initiatives with global facilities personnel.

  • Expense management and tracking of the office allocated budget

  • Coordinate and negotiate with external suppliers and third parties, for optimum terms on work, supplies, rates and all other expenditures

  • Maintains physical workstation/office-numbering system, database, floor plans and seating charts using our facilities management tools/software

  • Collaborate with other Workplace & Facilities team members on driving and supporting Appian initiatives.

  • Oversees various tasks for onboarded and off-boarded employees on-boarding of employees

  • Acts as a senior member of the Safety committee and emergency building contact. Will develop, implement and monitor all global Health & Safety Plans and all associated records and databases.

Basic qualifications:

  • 5+ years of experience with Corporate RE/ Facilities operations or in a relevant related position

  • Global real estate portfolio experience preferred.  Multi-city Domestic required.

  • Real Estate database management experience preferred

  • Strong and precise organizational, interpersonal and communication skills

  • Bachelor's degree in related field

  • Ability to maintain a pleasant, and professional attitude while experiencing frequent interruptions

  • Physical ability to lift 25 pounds

 

Preferred Qualifications:

  • Proficiency in Microsoft Suite and Google Applications

  • Experience managing multiple databases and associated reporting

  • Working knowledge of mail processes such as Federal Express and UPS

  • Strong planning and organizational skills

  • Ability to direct staff, vendors and contractors.

  • Ability to negotiate effectively
